Assembly Requirements and Standing Rules

PURPOSE

​

The main purpose of the Assembly dances is for the Students to increase social skills and connection and make new friends from other schools. We hope Students will be  able to attend all three dances. Students must arrive promptly and stay until the conclusion of the dance. It is important that the student RSVP promptly via the website whether accepting or regretting, and that the Area Chair be notified of any cancellation. A Student’s Membership Signature Card and all Waiver Forms must be signed and returned to the Area Chair prior to the dance date in order to be admitted to the dance. In order to assure a fun and special evening for everyone, we reaffirm our standards and regulations and request all who are invited to the Assembly dances agree to abide by the Assembly’s Standing Rules and Bylaws.

MEMBERSHIP

​

There are two classifications of adult membership: Active and Associate Member. A parent may apply to be an Active Member. An Active Member in good standing may vote and hold office. Active members must attend their area meetings and be willing to participate in at least one dance during the year. If the active adult member does not, that adult member may not be invited back the next year. Active members may propose students for membership.

 

In order to hold a future student spot (a legacy spot) for a younger sibling who is not of Assembly age, a parent of the current Student Member must become an Associate Member during the interval years. An Associate Member then must request their legacy spot and become an Active Member, no later than February of the student’s 9th grade year in order to join in the fall. This request must be in writing to their area chairperson.

Associate membership is also open to former Assembly parents who maintain an interest in the Assembly Committee after their own children have finished high school.

 

MEMBER SAFETY AND RESPONSIBILITY

The Assembly Committee activities are chaperoned by volunteers and professional security. Students will be expected to fully cooperate with all directives. Students may be asked to submit to a breathalyzer at any time and parent(s) or guardian(s) must agree that the Assembly Committee is authorized to request that a Student submit a breath sample. It is our goal to breathalyze all Students entering the dance. Student bags and pockets will also be inspected prior to entry.

Parent(s) or guardian(s) must agree to remain immediately available during the evening of a planned activity so that you can be contacted in case of emergency or otherwise. You must agree to be prepared to transport your children from the activity immediately after the activity if you are requested; since the Assembly Committee will not be responsible for supervision of the parking lots and surrounding areas. If you are not available, the Assembly Committee will turn over responsibility for your child to security who in turn may contact police assistance. Once a student exits the venue the Assembly Committee will no longer be responsible for supervision.

CHAPERONES

​

Chaperones will be provided by the Assembly Committee. Chaperones shall follow in the expectations outlined in the same Dress Code rules appropriately and follow the dress code established for the students.

 

TRANSPORTATION

​

Parents and guardians of students are responsible and will be punctual in delivering and picking up their child/children. The Assembly Committee will not provide supervision prior to 7:30 pm and after 10:00 pm.

 

STANDING RULES

​

In addition to the Requirements there shall be such Standing Rules as may be necessary to provide detailed policy and procedure for all the functions of this organization provided such Rules are not in conflict with the Bylaws. Such rules may be adopted, amended or rescinded by a two-thirds (2/3) vote of the Board of Directors.

 

  1. Zero Tolerance - No alcohol, use of drugs or any other chemical substance is allowed, including being under the influence of these. Students are not permitted to bring any beverages or other liquid into the venue and are not permitted to chew gum. Prohibited activities also include: smoking, fighting, the bringing of weapons to dances, or such other offensive, disrespectful or inappropriate behavior (on or off the dance floor) as determined by the Assembly Committee in its sole discretion will not be tolerated. If a violation should occur, a Student’s parent(s) or guardian(s) will be notified and they must pick up the Student immediately. Students will not be invited to attend future dances or activities.

  2. Invited Students Only - Only those Students receiving an electronic invitation from the Assembly Committee may attend the Assembly dances. If an invited Student attempts to bring a non-invited Student, a Student’s parent(s) or guardian will be notified and must pick up the Student immediately. Students will not be invited to attend future dances or activities.

  3. Dress Code - The Dress Code is intended to encourage members to look “dressy and tasteful” and is intended to be gender neutral and without regard to a student’s religious preferences. The expected appropriate dress for each dance will be indicated on the invitations. Dress definitions are as follows - Student members shall wear:

    1. collared dress shirt with tie or dressy blouse or other nice top

    2. dress pants (no jeans), dressy skirt or dress

    3. dress shoes (no tennis or athletic shoes, flip flops, or beach sandals)

    4. no casual hats (e.g. beanies, baseball caps

  4. Dance Hours - Hours of the dance are 7:30 P.M. to 10:00 P.M.

    1. No admittance will be allowed after 30 minutes from the start of the event (8:00 P.M.) without prior arrangements between the parent and Area Chair who will notify the Dance Chair. A handwritten note signed by the parent or guardian must accompany the member requesting late admittance.

    2. A Student may not leave before 10:00 P.M. without prior arrangement between the parent and Area Chair plus a note to accompany the member. A handwritten note signed by the parent or guardian must accompany the member requesting an early departure.

    3. Parent(s) or guardian(s) are responsible and will be punctual in delivering and picking up their son or daughter. 

  5. Dance Admittance - To gain admittance to the dance, Students must have a current picture I.D. Students may be asked, and the Student agrees, to submit to a breathalyzer at any time. A Student’s parent(s) or guardian(s) authorizes the Assembly Committee to conduct a breathalyzer at any time. A Student’s  parent(s) or guardian(s) will be notified if the results indicate alcohol or other use and will be asked to immediately pick up the Student from the dance. It is our goal to breathalyze all students entering the dance. Students' purses or bags and pockets may be searched. The Student agrees that the Assembly Committee is authorized to search bags and pockets. The Student’s parents authorize the Assembly Committee to search bags and pockets.

  6. Cancellations - Cancellation of a reservation must be made to the Area Chair at least 48 hours before the dance or the Student will be charged a $25.00 fee. Any Student who is delinquent in the payment of this fee will not be invited to further dances or activities. If a student misses 2 or more dances in one school year, they may not be invited to return.

  7. Emergency Contact - A parent(s) and or emergency phone contact must be immediately available on the nights of the dances. If not, Students will not be invited to further dances or activities.

  8. Post-Dance - Students agree to immediately leave the activity premises at the conclusion of the activity; no loitering is permitted.

  9. Chaperones - All dances or activities will be chaperoned by parent volunteers and professional security. Students agree to comply with all directions from them.

  10. Right of Refusal - The Assembly Committee reserves the right to refuse admittance to any Student for any actions or conduct which is likely to endanger the welfare, interest, or character of the Assembly Committee or violation of the Requirements or Standing Rules. If a Student is refused admittance, the Student’s parent(s) or guardian will be notified to pick up the Student. The Student agrees to wait at the premises for the parent(s) or guardian(s) arrival. Students will only be released to their parent(s), guardian or their designee. If a parent(s) or guardian is unavailable, the proper authorities will be notified.
